Overview

We’re hiring two Coordinators to support order management and project coordination for technical, made-to-order equipment projects. This role is a great fit for someone who is organized, detail-oriented, and comfortable working with technical documentation, schedules, and cross-functional stakeholders. You’ll help keep projects moving from order intake through release and fulfillment, ensuring timelines, documentation, and internal/external communication stay on track.

Responsibilities

  • Review incoming orders, order forms, and related documentation for completeness and accuracy

  • Coordinate project workflow from order intake through release, removing roadblocks that could impact schedules

  • Create, maintain, and communicate production or project schedules aligned to customer and operational requirements

  • Prepare and manage submittal documentation using technical inputs such as drawings, surveys, and specifications

  • Collaborate with project managers, sales, operations, and manufacturing teams to ensure procedures are followed and deadlines are met

  • Support change management by identifying issues, initiating resolution, and tracking updates through completion

  • Maintain organized project records, forms, and files; distribute documentation to the appropriate teams

  • Enter and maintain accurate job/project information in internal systems

  • Respond to internal and external customer requests within defined service expectations

  • Ensure projects are processed in alignment with established service levels to support on-time delivery

Required Skills

  • Strong customer service skills with the ability to handle questions and concerns professionally

  • Clear verbal and written communication, especially when discussing technical details

  • Strong critical thinking and problem-solving ability; able to “connect the dots” across processes and documentation

  • High attention to detail with consistent process adherence

  • Ability to manage multiple priorities and stay organized in a deadline-driven environment

  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook; familiarity with Access is a plus)

  • Comfort working with basic math concepts (fractions, percentages, decimals)

Preferred Qualifications

  • Experience in project coordination within construction, architectural, manufacturing, or other technical environments

  • Ability to read and interpret technical documentation such as architectural drawings, layout drawings, or equipment submittals

  • Familiarity working with order management, production scheduling, or supplier release processes

  • Experience supporting warranty-related coordination or handling escalations involving technical products (helpful, not required)
