Overview
We are seeking an RFx Project Coordinator to support a high-performing Strategic Sourcing team within a large, complex organization. This role plays a key part in managing the end-to-end execution of competitive sourcing events, ensuring processes are structured, compliant, and delivered on schedule.
You’ll work closely with sourcing leaders and cross-functional stakeholders to drive consistency and organization across RFI, RFP, and RFQ processes, allowing senior team members to focus on strategy and supplier decision-making.
Responsibilities
- Coordinate the full lifecycle of RFx events, including planning, documentation, timelines, and execution
- Prepare and maintain sourcing materials such as statements of work, requirements matrices, evaluation criteria, and scoring tools
- Manage RFx schedules and ensure all stakeholders meet deadlines and participation requirements
- Serve as the central point of coordination for supplier communications, including invitations, Q&A, addenda, and submission tracking
- Facilitate communication between sourcing, legal, finance, business teams, and external suppliers
- Organize and validate supplier responses within eSourcing platforms
- Compile bid summaries, pricing comparisons, and evaluation matrices to support decision-making
- Maintain detailed documentation of sourcing activities, including approvals, changes, and final outcomes
- Support cost analysis efforts by organizing data inputs for total cost of ownership and ROI evaluations
- Ensure all sourcing activities align with internal procurement policies, compliance standards, and governance requirements
- Track sourcing progress and proactively identify risks, gaps, or process deviations
Required Skills
- Bachelor’s degree and 3–5 years of experience in proposal coordination, bid management, sales operations, or a related function
- Proven ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment
- Experience working with eSourcing tools or procurement systems
- Strong organizational skills with attention to detail and process discipline
- Excellent written and verbal communication skills
- Ability to collaborate effectively across cross-functional teams
Preferred Qualifications
- Experience supporting formal RFx processes (RFI, RFP, RFQ) within a structured sourcing or procurement environment
- Familiarity with enterprise procurement or ERP systems
- APMP certification or similar professional credential
